The details tab on a borrowers record card holds the majority of information for that borrower. This topics describes the information that is stored on a record card. For descriptions of the information held on other tabs see the topic Exploring the Borrowers Record Card and select the appropriate tab.

 

 

All of the details that are stored on a borrower record card can be imported from a CSV file or using MLS Connect which automates the process. See the topic Ways to Add Borrowers for more details.

 

 

The details tab is split into 4 tabs, Borrower, Address, Guardian 1 and Guardian 2, each are described below.

 

 

Borrower

 

The first part on a borrower record card are the Forename, Surname, Title and Gender. The Forename and Surname fields are both mandatory whereas the Title and Gender are both optional. Some of the reports use the Gender to compare borrowings so ensure this is entered.

 

 

 

Next are the Date of Birth, Age, Group Name, Year Group, House and Set fields. Use the calendar icon  next to the Date of Birth field to select a borrower date of birth or alternatively type one in, using the forward slash to separate the day month and year. The Age is calculated automatically based on the date entered into the date of birth field.

 

 

 

The Group Name field displays a list of all groups present in the Tutor Groups table. It is not possible to create a group by typing one in, to create new groups which will then automatically display in this list, see the topic Adding a New Tutor Group. The Group Name is a required field.

 

When a Group Name is selected, the Year Group will automatically display the belonging year group for that group. If this needs to be altered, for example when using vertical tutor groups, change the Year Group to the correct number by typing this in. A House and Set can be selected from the relevant drop down menus. To add a new House or Set, simply type one in.

 

 

The Ethnicity, Contact Numbers, Email and Language fields are next.

 

 

 

An Ethnicity can be typed in or selected from the drop down menu if others are present already. The contact numbers are part of 3 separate text boxes Telephone, Work and Mobile. These are optional fields that can be entered if required. Select the Language from the language drop down menu.

 

 

The photograph of the borrower is on the right hand side of the record card. This is where the photograph of the borrower is stored and can be deleted or updated if necessary.

 

 

Click the  icon to update the photograph with a webcam if one is connected.

 

Click  to browse for an image file such as a PNG, JPG or JPEG.

 

If a photograph is already present and needs to be deleted, click the  icon.

 

 

 

Address

 

The address tab stores the borrowers address. The details can be entered into these fields by typing the information into the appropriate text boxes. The first address field represents address line 1, the second text box address line 2, etc.

 

 

 

 

Guardian Tabs

 

There are two guardian tabs (one for each guardian) that can be used to store information about the borrowers guardian. This can then be displayed on a reminder and instead of being addressed to the borrower it can be addressed to a nominated Guardian.

 

Select either the Guardian 1 or Guardian 2 tab and enter the information as required. The fields that are present on each tab are identical.
