Adding a New Resource

The instructions below explain how to add items to the library catalogue in full. In this example, a resource of type book is being catalogued.

·Once a resource is ready to be catalogued, click on the Resources icon from the left of the screen in Management.

 

 

 

·Click New under the Records tool bar on the right of the screen.

 

 

 

·The resource type selection box will open. Choose the desired resource type from the icons

·Once the resource type has been clicked at this point one of two things will happen. If the resource type selected was either Website, Document, Live Media or eBook then the record card will display as none of these resources require an accession number. If any other resource type was selected then a barcode number first needs to be assigned to the item. In this example, a book is being catalogued so the following box is displayed:

 

 

 

·Stick the appropriate barcode number onto the physical resource and then scan it using the barcode scanner. Alternatively, type the number into the Barcode text box manually or press Auto so the system can automatically assign one.

 

Generally it is more efficient to stick pre-printed barcode labels onto the item at the point of cataloguing rather than using auto and printing the number afterwards. However, this option is there if printing labels after the books have been added is preferred. See the Label Print section here for more information on printing labels.

 

 

 

·Scan or type the 13-digit ISBN of the resource into the EAN/ISBN text box, the record card should automatically open. If this does not happen, the system has not recognised the number as a valid ISBN. Click Continue to move to the next step.

 

 

·The catalogue record card will open. The fields that display for editing will vary depending on the resource type that was selected. Notice in the below image that some of the data was added automatically onto the record card. This is because the ISBN was matched to the corresponding record either on Discovery Online or to a copy already catalogued in the library system.

 

From the record card various details about the item can be entered, fill these in as desired by typing in the text boxes or selecting data from the drop down menus.

 

 

The F9 key may also be used when cataloguing. See this topic for more information about using F9.

 

 

The data displayed in the drop down menus is pulled from the existing catalogue, if any spelling mistakes or unwanted data is present then this can be removed or corrected globally by using Quick Replace as described here.

 

 

 

·Make any necessary alterations and then click Save to retain those changes.

 

 

It is also possible to add extra custom fields which are displayed in the Advanced tab on each resource. See the section on custom fields for more details.
